Print a buyer number report

Make a one-page list of every buyer and their number for a show, to print and keep next to you while you pack.

After a show, a list of every buyer and their buyer number makes packing faster: find the number on a label, look it up on the list, and you know whose box it is. NotBot makes this list as a PDF you can print or save. There are two ways to get it, and both make the same report.

Before you start

  • NotBot is open and signed in. See Sign in to NotBot.
  • The show gave out buyer numbers. Numbers come from your print mode; see Choose which labels print.
  • A program that opens PDF files. Every Mac has Preview, and Windows opens PDFs in Microsoft Edge if nothing else is set up.

From the show's page in Show History

Step 1: Click Show History

Step 2: Click View on the show

Find the show you want a list for. The newest show is at the top. Click the orange View button on its row.

Step 3: Click the Reports tab

The show's page opens. In the row of tabs under the show's name, click Reports (the last tab).

Step 4: Choose how the list is sorted

Look at the box on the left called Username & Number Report. Total Users tells you how many buyers will be on the list.

  1. Under Sort report by, click Number to list buyers by their number, or Username to list them in alphabetical order.
  2. Under Order, pick which end to start from: 1 → 9 or 9 → 1 for numbers, A → Z or Z → A for usernames.

In each row, the button filled in purple is the one that is picked. For packing, Number and 1 → 9 is usually easiest.

Step 5: Click Generate Report

Click the purple Generate Report button at the bottom of the Username & Number Report box.

Use the button in this box, on the left. The Generate Report button in the Stream Activity Report box on the right makes a different report, the list of everything sold in the show. It is the same as Show Summary in Build and export reports.

Step 6: Print the report

The report opens in your computer's PDF program (Preview on a Mac, or your PDF program on Windows). It may open behind NotBot; look for it in the Dock (Mac) or the taskbar (Windows).

At the top it says Username & Number Report, the date it was made and how many buyers are on it (1). Below that is the list, with each buyer number in the left column and the username next to it (2).

To print it, press Command+P on a Mac or Ctrl+P on Windows, pick your regular paper printer (not your label printer), and click Print.

Good to know: NotBot does not keep the PDF. To keep a copy, choose File, then Save (or Save As) in the PDF program.

From the Reports page

The same list is on the Reports page as Buyer List. Use this way when you are not already looking at the show.

Step 7: Click Reports

Step 8: Click Buyer List

Under Reports, click the Buyer List box.

Step 9: Pick the show

Click the long box under Show. A list of your shows drops down, newest first, each with its name, date and start time. Click the show you want.

Step 10: Click Generate PDF

The list starts out sorted by number, from 1 up. To change that, pick Username next to Sort by, or the other order next to Order, the same way as on the show's page. In each row, the choice shown in orange is the one that is picked.

Click the orange Generate PDF button at the bottom. The report opens in your PDF program, and NotBot shows Buyer List opened in your PDF viewer in the top right corner of the window.

If something looks different

I click Generate but nothing opens

Look behind NotBot first: the PDF program may have opened underneath. If no PDF opened at all, make the report from the Reports page instead: that way shows a message in the top right corner of the window when something is wrong. No users in stream means nobody in that show got a buyer number, so there is nothing to list. That happens when your print mode prints item labels only.

A buyer is missing from the list

The list has only the buyers who got a buyer number in that show. In Buyer Only mode with the starting settings, a buyer who only won a giveaway or only bought with Buy It Now gets no number, so they are not on it. To number them too, see Choose which labels print. You can check each buyer on the Buyers tab of the show's page, where buyers without a number show no # next to their name.

The report opens in the wrong program

The report opens in whatever program your computer uses for PDF files. On a Mac, right-click any PDF file, choose Get Info, pick a program under Open with and click Change All. On Windows, right-click any PDF file, choose Open with, then Choose another app, pick a program and tick Always use this app.
